Regular Syncs vs. Backsyncs
To avoid unnecessary API usage - which factors into your subscription cost - Propexo does not pull all historical data during regular syncs. Instead, regular syncs are designed to bring in recent, relevant data only.
If you need to pull in historical data, this is done through a backsync. Backsyncs are a separate process that retrieves your full historical records from your PMS.
Lookback Windows
To determine what counts as "recent," Propexo uses lookback windows - configured time ranges that define how far back each regular sync will look for new or updated records, and which is defined differently for each model.
These windows are carefully configured to strike the right balance between data completeness and minimizing unnecessary API usage.
One challenge in syncing PMS data is that most property management systems do not expose an updated_at filter on their API. This means Propexo often has to rely on other filters (or sometimes no filters) like created_at dates. We have carefully selected these lookback windows for each system, and we generally do not recommend altering them.
